Conference Room Systems for Virtual Meetings

March 2025

blog

As business professionals, we live in a world where virtual meetings have become a daily practice. While many believed workers would return to the office after Covid, 38% are still considered remote or hybrid. That's according to a survey conducted by Owl Labs. We stay in touch with those workers largely through conference room systems.

The ease of conducting these meetings has helped businesses integrate them into their regular practices. Virtual meetings are not just for remote employees. Consider these statistics from scoop.market.us: 58% of companies have adopted video conferencing for their daily activities. That includes business development meetings by salespeople.

As businesses continue to adopt video conferencing, it has driven an incredible increase in the number of online meetings. For example, in 2024 Zoom hit 300 million meetings per day! Of course, that does not take into account the number of virtual meetings happening on other platforms.

As businesses add more and more video conferences to their daily schedule, the need for Robust conference room systems is growing. While the older, traditional video meeting equipment met the challenges of its day, those systems are no longer up to the task. Conference room systems need to be able to handle the challenges of today's virtual meeting needs.

Today's Conference Room Systems

In 2025, conference room systems are much more advanced than ever before. They can create immersive experiences using AI, automation and enhanced connectivity. The result is a higher level of productivity for participants.

Here are a few key features.

Enhanced Collaboration Through AI

Newer video conferencing systems provide real-time transcription as well as automatic translation, if needed. They can also generate meeting minutes, action items and key takeaways. Finally, users can operate systems from their locations hands-free by using gestures or through voice command.

Ultra-High Quality Audio & Video

Modern conference room systems deliver superior 4K and 8K high-definition video. When remote users can have their own screens, it's as if they are in the room with you. Newer systems also feature superb audio quality. They include AI-enhanced microphones that filter out background noises while preserving the user's natural voice qualities. Beamforming mics can also track and focus in on those speaking automatically.

Seamless Hybrid Work & Interoperability

Phantom Sound's conference room systems allow businesses to use the virtual meeting platforms of their choice. They integrate with Zoom, Microsoft Teams, Google Meet and Webex. They can also seamlessly switch between different video conferencing software with no additional equipment needed.

Equipment

There are many manufacturers of video conferencing equipment. After researching all the options, Phantom Sound has decided to work with these two providers.

Logitech Rally Bar

Logitech is a Swiss company that creates software-enabled hardware solutions that, "are at the point of connection between people and the digital world." The company builds Rally Bar. It is an all-in-one video conferencing camera/speaker/microphone device with AI technology built-in. According to the company's website, "Logitech Rally Bar is the premier video bar for medium to large meeting rooms."

Rally Bar provides a natural meeting experience. It uses AI to center users on the screen and make sure their appearance is crisp. In addition, Rally Bar also offers noise suppression to deliver sound that is clear and understandable.

Neat

Similar to Logitech, Neat provides all-in-one video conferencing devices for conference rooms. Using AI technology, Neat can focus its view on the people who are speaking. It can keep them in the frame, even if they are moving around the room.

Neat also delivers clear audio. The processing ensures that you won't hear muffled voices or clipped words. Another challenge that conference meetings suffer from is not hearing all the voices during a lively conversation. Most apps simply mute the microphones in favor of the person who spoke first. Neat doesn't do that and instead allows all the voices to be heard clearly, as if they were in the room with you.

Finally, Neat allows users to specify a screen to become a white board. They offer a "pen" that can be used to "write" on it and the contents of the screen can be saved and shared.
